Case Study: Small HVAC company with 22 vans.

The cost to keep each van on the road is broken down as follows:

Lease           $500
Gas              $600
Insurance     $250
Total            $1,350

ROI:

Using Tracer, the company expects a reduction of $1,350 by serving the same number of customers with one less van.

How?

Job scheduling (for non emergency service) was done on a first available time slot basis.  When a call came in, the first technician available was scheduled for the job without regard to when a similarly qualified technician may be near the service location.  With Tracer,  when an incoming call for non emergency work is received, the user will view two pieces of information: (1) the next available time slot and (2) the time slot when a technician is closest to the requested service address.

This is done by an enhanced scheduling system which providing Geographic or Location related information called “Geo Calendar Sync”

Geo Calendar Sync is an additional layer of information that shows technicians proximity to requested service address. The Geo Sync layer of information allows user to make scheduling decisions not just based on next available time, but on which technician is closer to requested service address.

Example: Call is received for new compressor installation. Calendar shows first available time slot is Tuesday afternoon. Geo Sync layer shows that a technician will be 2 miles from requested service area on Wednesday morning. Scheduler asks customer if service can be scheduled on Wednesday morning instead of Tuesday afternoon.

  

Case Study: Small Appliance Repair Company with 17 technicians

A full time employee spends 20 hours per week taking the paper tickets from the workers and entering the information into the invoicing and work order system. Information entered includes billed time and materials used. 

Problems include technicians writing illegibly, delays in the paper tickets being sent to accounting and inaccurate information entered by technician.   These lead to work orders remaining open without being closed in the system, invoices not being sent in a timely fashion to the customer and disputes with the customer on old bills.

Solution: Using Tracer, technicians complete the work order in the field and the information is automatically and immediately sent to the office via the wireless network.  Tracer automatically creates an audit trail using GPS informtion to automatically track the true start and end time of the job.  Discrepencies between the billable time per the technician and the billable time per GPS stamp are flagged for attention.  Any disput from the customer on billable time are defended from the computer generated GPS based audit trail.   The administrative employee now spends only 7 hours processing the tickets versus th 20 hours prior to Tracer.
